This privacy policy of Stichting B’ROBOTICS applies to the privacy terms of our website www.b-robotics.eu the sending of our newsletter and various related activities that we perform as a foundation. We carry out these activities within the framework of our objective.

Personal data that we process

Foundation B’ROBOTICS processes the data of the company or your personal data because you make use of our services and/or because you provide these to us yourself. Below you will find an overview of the personal data that we process: 

• First and last name
• Gender
• Address details
• Telephone number
• Email address
• Bank details (as indicated on invoice or known at Chamber of Commerce)
• Other personal data that you actively share in correspondence by email and telephone

For what purpose and on what legal basis do we process personal data

B’ROBOTICS Foundation processes your personal data for the following purposes:

• We may call or email you if this is necessary to provide our service;
• We process personal data when we are legally obliged to do so, such as data that we need for our tax return;
• We process personal data when we are obliged to do so due to subsidy accountability.

Automated information

Stichting B’ROBOTICS does not make decisions based on automated processing about matters that can have (significant) consequences for persons. These are decisions that are taken by computer programmes or systems, without a human being (for example, an employee or director of Stichting B’ROBOTICS) being involved. Stichting B’ROBOTICS uses the following computer programmes or systems

• Office 365: Used for sending and receiving emails and storing documents, including the processing and storage of personal data.
• Mailchimp: Used for distributing newsletters.
• Website: Used for registrations for events held by Stichting B’ROBOTICS and for signing up for news updates. The tracking tool Google Analytics is also used to analyse the use of our website and gain a better insight into our visitors, so that we can tailor our services accordingly. This tracking tool has been designed and configured to collect only non-personal information about your use of our website. Your IP address has been anonymised in the process.
• AFAS: is used for processing and storing personal data.
• Social media channels (including Facebook, Twitter, LinkedIn, Instagram) are used to distribute news reports with the use of visual material.

You do understand, however, that such tools and systems are partly created and managed by parties outside of our control. As such, we are not responsible for any information that is actually recorded by such third parties or how such third parties use and protect that information.

We receive automatic information from your web browser or mobile device. This information includes the name of the website from which you visited our website (if applicable), the IP address of your computer/proxy server that you use to access the internet, the name of your internet website provider, the type of web browser, the type of mobile device, and the computer's operating system. This information is tracked in log files.

Our email policy

Our organisation fully complies with national legislation regarding SPAM. You can unsubscribe from receiving further email correspondence from us. We agree that we will not sell, rent or trade your email address to other organisations without your explicit consent.

Sharing of personal data with third parties

Foundation B’ROBOTICS shares your personal data NO with third parties without your explicit consent for this. Your data will only be used to enable the execution of work by Stichting B’ROBOTICS, such as maintaining a calendar function and an administration programme. All programmes used by Stichting B’ROBOTICS comply with the same stringent legal requirements for the security of personal data. Invoicing for delivered services is also processed via a secure online accounting system that is inaccessible to third parties, with the exception of the accountant.

Permission to publish images

Stichting B’ROBOTICS will use visual material of its members, event participants and spectators for:

• Website publication
• Publication on social media and use in media

Through partnership with Stichting B’ROBOTICS or participation in activities of Stichting B’ROBOTICS, you grant permission to use captured images for the aforementioned purposes.

Foundation B’ROBOTICS will not publish any visual material that could be harmful to you as a person or organisation. You cannot claim any compensation for the visual material used by Foundation B’ROBOTICS. You retain the right at all times to have visual material on which you appear removed; you can contact us for this purpose. We may ask you to prove your identity before we proceed with removal.

Photos taken at our events and gatherings may and will be used in our communications. By registering for one of our events or gatherings, you agree to this.

Cookies, or similar techniques, that we use

Stichting B’ROBOTICS only uses technical and functional cookies, as well as analytical cookies that do not infringe your privacy. A cookie is a small text file that is stored on your computer, tablet or smartphone upon your first visit to this website. The cookies we use are necessary for the technical operation of the website and your ease of use. They ensure that the website works properly and, for example, remember your preference settings. They also enable us to optimise our website. You can opt out of cookies by setting your internet browser so that it no longer stores cookies. In addition, you can also delete all information previously stored via your browser's settings.

View, amend or delete data

You have the right to view, correct or delete your personal data. In addition, you have the right to withdraw your consent to data processing or to object to the processing of your personal data by Stichting B’ROBOTICS, and you have the right to data portability. This means that you can submit a request to us to send the personal data we hold about you in a computer file to you or another organisation named by you. You can send a request for access, correction, deletion, data transfer of your personal data or a request to withdraw your consent or objection to the processing of your personal data to info@b-robotics.eu. To ensure that the request for access has been made by you, we ask you to send a copy of your proof of identity along with the request. In this copy, please black out your passport photo, MRZ (machine readable zone, the strip of numbers at the bottom of the passport), passport number, and citizen service number (BSN). This is to protect your privacy. We will respond to your request as soon as possible, but within four weeks. Stichting B’ROBOTICS would also like to point out that you have the option to lodge a complaint with the national supervisory authority, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). Stichting Breda Robotics takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised modification.
